1. Main Duties 1.1 Provide Administration support to the Corporate Services Director and Corporate services team on matters relating to Human Resources management, Communication and Association Governance. Provide administration support to the Chief Executive in the absence of the Executive Officer. 1.2 Operate word processing systems, including setting up, maintaining and storing information appropriately, designing and using standard formats, preparing letters, reports, etc. 1.3 Be responsible for the accurate completion and timely distribution of Board and Committee meeting minutes. 1.4 Ensure optimum usage and application of the Association`s Electronic Document Management (EDM) capability in own area of responsibility. 1.5 Work flexibly within the Corporate Services team to meet the operational needs of the department and Association.
2. Governance 2.1 Liaise with the Office Services Manager and Executive Officers in order to co-ordinate and prioritise day-to-day governance activities and maintain diaries. Make the necessary arrangements for Board and Committee meetings and conferences, ensuring accommodation and travel requirements are dealt with. 2.2 Arrange for printing and despatch of Board and Committee papers in line with the despatch timetable. 2.3 Attend Committee meetings and record accurate minutes to be circulated promptly in accordance with distribution requirements following the meeting. 2.4 Liaise with Executive Officers on the production of executive summaries for the F & D and Housing Services Committees. 2.5 Update cross-referencing for the F & D and Housing Services Committees and load onto the intranet. 2.6 Maintain an indexed register of minutes indicating key resolutions. 2.7 Organise the meeting room and refreshments for Board and Committee meetings. 2.8 Send out share certificates and summary information to new Committee and Association members. 2.9 Respond to routine enquiries for membership of the Association. 2.10 Assist in the production of annual statistics of members` data. 2.11 Assist in the ordering of transport for Committee and Association members.
3. Human Resources Administration 3.1 Ensure optimal use of the Professional Personnel system to support efficient administrative and monitoring processes. Maximise use of EDM (Electronic Document Management) capabilities within HR administration. 3.2 Distribute absence recording forms as required. Advise on the completion of monthly flexi sheets, receive and check for accuracy, liaising with line managers. 3.3 Administer staff leave requests and records and provide information on absences to reception and the switchboard on a daily basis. 3.4 Assist with applicant short-listing processes and arrange interviews sending standard letters to short-listed candidates. Greet candidates and co-ordinate the interview timetable as necessary. 3.5 Conduct psychometric test administration as part of the Association`s selection process. 3.6 Produce standard letters and draft replies where requested. 3.7 Ensure the maintenance of an up-to-date administrative filing system for the HR function. 3.8 Maintain a database of invoices relating to the human resources function, liaising with the Human Resources Officer and the Humana Resources Manager on content and coding.
